Record a meeting on iPhone you can actually use

You have a meeting in ten minutes. This page is the preflight: what to check, where to put the phone, what goes wrong, and how big the file will be. For the comparison of recorder apps and devices, see the main guide.

In one line. Turn on Do Not Disturb, open the recorder, record ten seconds and play it back, then tap record, lay the phone flat in the middle of the table and say the attendees' names out loud.

The 60-second preflight

    Battery and storage

    Recording for an hour costs a few percent of battery on a recent iPhone; below 20 percent, plug in. Storage is about 2 MB a minute at high quality, so a two-hour meeting is around 250 MB. Check under Settings, General, iPhone Storage.

    Do Not Disturb on

    Swipe down for Control Center and tap the moon. Most alerts stay silent. Allowed contacts, repeated calls and emergency bypass can still ring, so check your Focus settings if it matters.

    Open the recorder and allow the microphone

    Voice Memos for audio only. AI Transcribe if you want a transcript with who said what, and meeting notes afterwards. The first time, iOS asks for microphone access; say yes. Transcription runs in the cloud, so the phone needs a connection.

    Ten-second test

    Record yourself saying a sentence from across the table, play it back. If it is faint, move the phone. This is the step everyone skips and then regrets.

    Tap record, lay the phone flat

    Screen up, in the middle of the table. Keep the microphone openings clear: no case flap, no hand, no stack of paper on it.

    Name the room

    "Around the table: Dana, Priya, Tom." A transcript with speaker labels then has its own key.

    Ask, and get a yes

    "I am recording this for the notes, is that okay with everyone?" Recording laws differ by country and, in the US, by state; about eleven states require everyone's consent, more in some circumstances. Asking is only consent if everyone agrees. Not legal advice.

What goes wrong, and the fix

After the meeting

Nobody will listen to the whole recording again. The useful output is short: what was decided, who does what, by when. Change the Voice Memos setting under Settings, Apps, Voice Memos, Audio Quality. Apple does not publish exact bitrates, so treat the Voice Memos numbers as ballpark. For meetings, Compressed is enough; a phone placed well matters more to the transcript than the bitrate.

Recording a meeting that is on a call

If you are in the room and the others are on Zoom or Teams, the phone on the table records the room and the speakerphone. If you are on the call yourself, record on the platform with the host's permission and import the file into a transcription app afterwards. Do not try to record a call that is running on the same iPhone with Voice Memos: when another app plays audio, the recording stops. Third-party apps cannot capture call audio directly; iOS 18.1 added call recording inside the Phone app on supported models and regions, and it announces itself to the other side.

Frequently asked questions

Can I record a meeting on iPhone for free?

Yes. Voice Memos is on every iPhone and records for as long as you have storage. On iPhone 12 or later with iOS 18 it also produces a transcript in supported languages and regions. Notes with action items need an app; AI Transcribe is free to download with a daily allowance.

Does recording a meeting on iPhone need everyone's permission?

How far away can people be?

A normal meeting room table, with the phone flat in the middle, in a reasonably quiet room. For a boardroom table, use two phones and transcribe both.
